    Common Interview Questions

    A.

From order receipt, I confirm product availability and generate pick/pack instructions. I book the carrier based on delivery timeline and cost requirements, prepare shipping documentation (bill of lading, packing list, commercial invoice for international shipments), and confirm collection with the 3PL or internal warehouse. I track in-transit and communicate ETAs to the customer. On delivery confirmation, I reconcile against the order and initiate any claims for damage or shortage. Meticulous documentation at every step prevents disputes and speeds up claims resolution.

International freight requires attention to Incoterms — which party owns cost and risk at each point of the journey. I prepare accurate commercial invoices, packing lists, and certificates of origin. I work with our customs broker to ensure correct tariff classification and import permits. I know the documentation requirements for our key markets and build timelines that account for customs dwell time. For time-critical shipments, I assess airfreight vs sea freight trade-offs clearly before committing.

I act immediately — I escalate to the carrier, track the last-known location, and provide the customer with a clear update and revised ETA within hours of identifying the issue. I document everything: when the issue was identified, what actions were taken, and what the customer was told. If the shipment is lost or significantly delayed, I assess whether to expedite a replacement and initiate a carrier claim. I proactively communicate bad news — customers handle it far better than they handle silence.

I've worked with CargoWise One for international freight management, SAP for order processing and distribution management, TMS platforms including Oracle TMS and Descartes, and carrier portals (Toll, DHL, Maersk, FedEx). I'm also experienced with WMS systems for warehouse coordination and Excel for reporting and analysis. I learn new systems quickly and focus on understanding the data flows between systems, which is where most logistics errors originate.

I build partnerships rather than purely transactional relationships. I provide carriers with accurate and timely information — weight, dimensions, delivery requirements — which improves their performance and our relationship. I give regular feedback on performance, recognising good service and escalating persistent issues. I maintain multiple carrier relationships for each lane so I have flexibility when a primary carrier has capacity or service issues. I review rates annually and don't accept rate increases without evidence they're market-aligned.

I start with lane analysis: what's our volume, what's our modal mix, what are we paying per kg or per unit compared to benchmarks? I consolidate shipments wherever possible — LTL into FTL, or multiple small parcels into one pallet — to reduce per-unit cost. I negotiate annual rates and ensure we're using preferred carriers for the negotiated lanes. I review accessorial charges (fuel surcharges, residential delivery, liftgate fees) which can add 15–25% to base rates. I report freight cost as a % of revenue monthly and investigate upward trends.

I'm trained in [IMDG/IATA DG regulations] and ensure correct DG classification (UN number, hazard class, packing group), packaging that meets the standard, proper labelling (diamond marks, handling labels), and compliant documentation (Shipper's Declaration, MSDS). I only use carriers approved for the DG class in question and maintain a register of current DG approvals. Non-compliant DG shipments can result in fines, confiscation, or serious safety incidents — I treat DG compliance as a zero-compromise area.

Peak management starts with planning months in advance: forecasting volume, locking in carrier capacity early, ensuring warehouse staffing is scaled appropriately, and simplifying processes where possible to increase throughput. I communicate expected volumes to carriers and 3PLs and secure written capacity commitments. During peak, I increase monitoring cadence — checking shipment status more frequently, identifying issues early. I also manage customer expectations proactively: communicating extended transit times if required so customers aren't surprised.
