Common Interview Questions
A great first impression combines a warm welcome, efficient assistance, and a well-presented environment. I greet visitors by name if they're expected, make genuine eye contact, and acknowledge them within seconds of arriving — even if I'm finishing another task. I offer a beverage, ensure they're comfortable, and communicate a realistic wait time. I manage the reception area proactively — it's the first thing a client or candidate sees, and it should reflect the organisation's standards perfectly.
I prioritise by urgency and manage expectations clearly: "I have another call, may I put you on a brief hold?" I avoid keeping callers on hold for more than 60 seconds without an update. I route calls accurately on the first attempt — knowing which teams handle which enquiries is essential. I maintain a current internal directory and note caller names and purposes when messages need to be passed on. Professional telephone manner, efficiency, and accuracy are the pillars of good switchboard management.
I treat all information that passes through reception — visitor identities, meeting purposes, package contents, or overheard conversations — with strict discretion. I never share visitor details, meeting schedules, or internal information with unauthorised people. I follow the organisation's visitor management procedures, including NDAs when required. Reception is a high-information-flow area, and professional discretion is not optional.
A visitor arrived without an appointment for an executive who was unavailable. They became frustrated. I acknowledged their frustration calmly, contacted the executive's EA to find the earliest available slot, and offered to take a message and arrange follow-up. I didn't promise what I couldn't deliver, but I made them feel heard and respected. Most difficult interactions are driven by frustration at a situation, not personal animosity. A calm, genuine response defuses most situations.
I'm experienced with visitor management systems (Envoy, SwipedOn), switchboard/VoIP systems, Microsoft Office (Outlook, Word, Excel), and diary management in Outlook and Google Calendar. I've managed meeting room booking systems and coordinated catering for events. I adapt quickly to new systems and understand that consistent, accurate data entry is what makes these tools valuable. I also maintain good manual backups — a system failure shouldn't halt operations.
I maintain a log of incoming and outgoing mail and parcels — recording sender, recipient, date received, and date forwarded. For sensitive items (legal documents, registered mail), I follow a specific verified receipt process. I sort and distribute promptly, prioritising time-sensitive items. For outbound, I ensure correct addressing, appropriate packaging, and accurate cost centre coding. I maintain relationships with courier companies and know escalation contacts when shipments go missing or are time-critical.
Reception is my primary responsibility — I never let administrative tasks compromise my availability to visitors and callers. I batch administrative work during quieter periods and maintain clear visibility of what's pending. I communicate proactively when a task will take longer than expected. I also build efficient templates and systems for recurring administrative tasks so they take minimum time. The best receptionists have a visible presence that's both welcoming and organised at all times.
I'm drawn to roles where I'm the face of an organisation and where my attention to people and detail creates real value. Reception is genuinely challenging — it requires excellent multitasking, professional communication, discretion, and resilience. [Personalise: I'm particularly interested in this role because of the organisation's values, the calibre of visitors I'd be welcoming, or the team I'd be working with.] I want to bring my skills to an organisation I'm proud to represent from the front desk.
